The Operations Specialist I (OS-I) lends operational support to CCS
in managing its network of sub-contracted providers. The OS-I is
responsible for actively supporting the administration of
coordinated care, providing critical communications, managing
report submissions, documenting transitions in client care, and
ensuring that client and provider records are accurate and current.
Serving as a liaison between CCS, individual providers, and client
funding source, the OS-I ensures that each client receives the
highest quality of services across the entire care cycle.
-ESSENTIAL JOB FUNCTIONS -
- Proactively communicates and practices CCS's belief in the
provision of high quality services by providing excellent
operational support of service delivery to clients
- Tracks the administration and documentation of services
throughout the care-cycle of the client, beginning with the
referral for treatment and continuing through discharge from
services
- In collaboration with other CCS departments, maintain -accurate
client record at all times, and share -client information as needed
and according to HIPAA regulations and following organizational
procedures
- Plays a key role in ensuring that client reports are tracked
systematically through the review process, and then delivered to
the funding source on time to enable authorization/re-authorization
without gaps or delays in services
- Responsible for correcting discrepancies and appropriately
escalating issues within the client record, including delays in
reports submissions and authorizations that may result in a client
service disruption
- Collaborate with other departments within CCS to insure
seamless transitions and warm hand-offs for clients, providers and
customers as needed
- Responsible to complete additional job duties and projects as
assigned by supervisor/management
- Enter approval letter and authorization data into
Salesforce
- Communicate with external partners on issues or tasks related
to authorization management
- Assists "customers" with authorization related inquiries and
documents, as appropriate
- Obtains, reviews and inputs insurance policies, authorizations,
and referral inquires throughout client services
- Accesses data in JIRA, Salesforce, Athena, Excel and other
software as assigned
- Attends staff meetings, training, and other meetings as
required and requested. -
QUALIFICATIONS
Minimum Education, Experience & Training Equivalent to: -
- High School degree or GED required. Bachelor's degree
preferred.
- Cross functional experience in performing both technical and
non-technical (i.e., people and process) support services
preferred.
- Atlassian/JIRA/Salesforce experience is preferred. Knowledge,
Skills & Abilities:
- Capacity to develop and manage positive working relationships
with all departments in CCS demonstrating strong interpersonal
skills.
- Sensitivity to working with an ethnically, linguistically,
culturally, and economically diverse population.
- A commitment to the values of the organization while
demonstrating good judgment, flexibility, patience and discretion
when dealing with confidential and sensitive matters.
- Proficient in Microsoft Office (Outlook, Word, Excel, etc.),
especially Excel and related computer software.
- Consistently demonstrate good judgment and decision-making
skills.
- Maintain the highest levels of confidentiality.
- Ability to work in an exciting, fast paced high energy
environment while effectively multitasking.
- Capacity to work comfortably with individuals at all levels
within the organization.
- Ability to manage day-to-day responsibilities with or without
supervision.
- Frequent proofreading and checking documents for accuracy.
- Excellent verbal and writing communication skills.
- Highly detail-oriented.
Physical Requirements: -
- Ability to stand or sit for extended periods of time, stand for
up to 6-8 hours a day.
- Frequent speaking and listening (50%) to clients, staff, and
other professionals in meetings and on the phone.
- Frequent sitting and maintaining close visual attention to
write reports and work at the computer.
- Visual and auditory ability to work with clients, staff and
others in the workplace continuously.
- Ability to utilize computer and cell phone (iPhone).
- Must be able to communicate effectively within the workplace,
read and write using the primary language within the workplace.

CONDITIONS OF EMPLOYMENT -
- Ability to obtain and maintain criminal record clearance
through the Department of Justice (DOJ). The People & Performance
Department must analyze DOJ/FBI live scan reports in accordance
with applicable Federal, State, and Local laws, as well as fitness
for the position.
- Ability to obtain and maintain clearance through the Office of
Inspector General.
- Must attend all required training. Time Type: Full time
Compensation: $26.00 to $29.00 per hour The statements contained in
