Job Description:

The Events Specialist is a new full-time position in the Events Department supporting a variety of internal and external events including but not limited to incentive and recognition events, client appreciation events, meetings, conferences and trade shows. Responsibilities include setting up and managing event registration, coordinating event logistics, creating event invitations, communications and promotions and handling a variety of details related to a myriad of events and sponsorships. The position operates within a high production environment with strict deadlines. It requires excellent attention to detail and accuracy, superior customer service skills as well as flexibility and a can-do attitude to work on multiple events/activities at a time. The individual must build and maintain positive and professional working relationships with the firm's management team, investment and finance professionals as well as with industry partners, vendors, event organizers, clients and other team members. - The individual must have strong written and verbal communication skills and a positive, professional appearance and demeanor. Gaining a thorough understanding of the Marcus & Millichap, Marcus & Millichap Capital Corporation (MMCC) and Institutional Property Advisors (IPA) brands, utilizing graphic and editorial style guides will be expected as well as learning about the commercial real estate industry to add value to the services provided by the Events team. This position reports to Events Operations Director and will work closely with other members of the Events Team including event planners, graphics, marketing and administrative staff as well as the firm's management team and other support departments. Excellent people skills are required. This is an exempt position. Travel to events and working on-site will be required several times a year. Some evening and weekend in office work will be required in preparation for major events. This position is expected to work in the office Monday through Friday with a regular working schedule. The office is open 8am to 6pm and a regular schedule will be established with department management. Year-end and the holiday season are the busiest times of year and there will be limited time-off at that time due to the firm's early Q1 events. Primary Responsibilities:

  • Set-up and manage registration for a variety of types of events
  • Set-up and manage appointments at meeting tables and conference room space at trade shows
  • Coordinate logistics for various conferences and trades shows including event/show orders and shipping materials as needed
  • Manage invitee and registration lists and reports; provide reports as needed
  • Work with the Event Planner or Client to determine reports and analytics needed for each event that this position is responsible for.
  • Proactively manage registration and provide updates and recommendations based on the results of the event registration campaign
  • Ensure Do Not Call or Email requests are accommodated
  • Ensure orders and submissions are within the early bird discounts and deadlines
  • Executes registration, invitation and marketing emails within the established for the event
  • Maintain a marketing-communication timeline for each event tracking the dates of communications and the responses.
  • Ensure all events this position is responsible for are posted on the internal and external calendars and websites as appropriate to the event
  • Work with the marketing manager and event planner as appropriate to create event invitations and event communications
  • Creates marketing timelines for events and ensures all event marketing collateral pieces are created and deadlines met. -Requirements:
    • Bachelor's degree in event planning, communications, marketing or business
    • 3-5 years of experience in a related field with a proven track record in a fast-paced production environment. Commercial real estate industry-experience a strong plus.
    • Excellent written and verbal communication skills with strong attention to detail
    • Must be highly organized, proactive, detail and deadline oriented with ability to handle multiple priorities at once.
    • Must be able to manage projects from start to completion within the given timeframe.
    • Superior customer service skills; white-glove service expected for all clients internal and external -
    • Excellent people skills are required
    • Ability to multi-task and prioritize working with department management to determine highest priorities
    • Flexibility to adjust as needed
    • Must be able to work effectively under pressure while completing the task at hand. -

    • Ability to react to changes seamlessly and effectively deal with stressful situations and deadlines without getting flustered or irritated
    • Excellent computer and Internet skills are essential.
    • Good working knowledge of Microsoft Office products, including Outlook, Word, Excel, PowerPoint; Office 365
    • Working knowledge of Adobe PDF editing tools
    • Experience with Cvent email marketing and registration platform required
    • Experience working with Adobe Creative Cloud (InDesign, Illustrator, Photoshop) and Pardot a plus
    • Must have a valid driver's license
