You'll Do We are looking for a professional, take-charge Sr.
Executive Assistant, Operations & Advocacy to keep business
operations organized, managed, on track, and moving forward.
Candidates must possess strong communication skills, both written
and oral, the ability to multi-task efficiently in a fast-paced
environment, and the ability to work independently with initiative,
discretion, and confidentiality. You will ensure that the
Executive’s productivity is enhanced by managing calendars and
schedules, including managing expense reports. You must have the
ability to manage multiple high-priority assignments and foster and
maintain strong working relationships within all levels of the
company and outside vendors and contacts. You will create and/or
modify presentations as needed, work on complex assignments, and
require considerable judgment, initiative, and specialized
knowledge to resolve problems and/or develop recommended solutions.
Your work will be completed with minimal supervision as assignments
are of the highest quality, and follow-through is outstanding
Responsibilities Provide administrative support to the Chief
Operations Officer and direct reports within the Business
Development and Operations Dept., as well as the Patient Advocacy
Team Extensive calendar, meeting, and event management to
coordinate internal and external meetings/events, including staff
meetings, executive briefings, team meetings, patient advocacy etc.
Assist with food orders, meeting needs, agenda support, and
note-taking Proactively manage calendar requests and conflicts
Apply discipline and rigor around meetings and ensuring agendas,
and clarifying context and purpose with senior leaders you support
as well as participants Handle all travel (flight, hotel, car)
arrangements for domestic and international travel Expense
management duties, which include submitting expense reports and
receipts in a timely manner Budget Management, Vendor Management,
and Coupa Support Provide onboarding support for new hires within
the team and be a point of contact for new hire Provide onboarding
support for new vendors and agencies when needed, ensuring they
have the proper access and documents/enablement required to get
them up and running Project work as needed to support each team’s
goals Support for cardiovascular patient advocacy team: Meeting
planning (i.e. Summit, fireside chats with patients), department
finance processing (all POs and invoices), grants/sponsorship
finances, patient reimbursements End to end grants management
(Cybergrants, process all incoming grant requests, sponsorship

in-office collaboration 3-4x per week in our San Francisco Office.
Who You Are 8 years of administrative assistant experience
Proactive, one step ahead work ethic, attitude, and approach Able

Ability to drive schedules and agendas with a more profound

skills, with a desire to offer suggestions and improvements

Generally IT savvy Experience working with all levels of
management, employees, vendors, and customers Ability to travel

for candidates for this role who will work in California. The final
salary offered to a successful candidate will depend on several
factors that may include but are not limited to the type and length

the industry, educational background, location of residence and

multi-state employer, and this salary range may not reflect
positions based in other states. Salary $62.50 - $79.33 USD As a
