Job Description:
We're looking for a highly motivated and talented Operations
Professional to join our friendly and dynamic Good Agent real
estate team which is powered by Keller Williams (Instagram
@GoodAgentOrg). The primary role will be to assist our Team Leader
and complete various administrative tasks. Responsibilities include
liaising between the managing broker and clientele, screening
messages and notifying the broker of important information, and
overseeing schedules and travel arrangements. You'll also be
responsible for organizing office records and customer data,
ordering office equipment, and completing other administrative
tasks to support the team. Our ideal candidate will have a
problem-solving mindset, be very detail-oriented, speak more than
one language and have at least 2 years of experience. If you're

Responsibilities:
--- Serve as a liaison between the managing broker and
clientele
--- Develop systems, improve efficiencies, and write training
manuals for various tasks
--- Oversee Scholarship Recipients and Interns, coordinate
Volunteer Activities
--- Keep a balanced record of the broker's business
transactions
--- Manage the client database to keep information orderly and
confidential
--- Manage the client appreciation tasks for our Sports and
Entertainment Division
--- Execute office management tasks such as systematizing office
records, and buying office equipment
--- Schedule meetings, travel itineraries, and any other relevant
appointments for the broker
--- Directly assist the Executive Team and Manage Team calendar
--- Answer inbound phone calls from sellers, buyers, and
vendors
--- Monitor incoming emails and respond when needed
--- Use our CRM (Customer Relationship Management) to enter
information about sellers, buyers, and vendors
--- Weekly reporting to the Executive Team
--- Coordinate event and property open house opportunities for
agents
--- Oversee Virtual Assistants
Qualifications:
--- Computer skills -proficient in Excel, Word, Powerpoint, Adobe,
Google Suite, Mac, Photoshop
--- Pick up Customer Relationship Management Software (CRM)
quickly
--- General ability to understand the technology and utilize it
effectively, quickly
--- Ability to demonstrate strong business judgment, professional
etiquette, organizational, analytical, and problem-solving
skills
--- Work requires attention to detail in composing and proofing
documents, establishing and meeting deadlines, and the ability to
handle multiple priorities
--- Outstanding verbal and written communication skills in the
English language
--- Must be "tech-savvy", including proficiency and/or the ability
to quickly learn and use office productivity software & other
platforms
--- Must encompass a "no job too small" mindset i.e can order lunch
or do a random task outside of their "job description"
--- Self-motivated with a strong desire for personal and
professional growth. This desire typically allows for those who
will own their position and not need prompting to find things to
do. Must not be afraid to take the initiative and implement ideas
that will help this role be more efficient
--- At least two years of experience as an executive assistant or
administrative assistant
--- Used to handling private information and meeting hard
deadlines
--- Experience in the real estate industry preferred
--- High level of interpersonal skills with the ability to be
assertive yet tactful
--- Must be able to interact and communicate with individuals at
all levels
--- Must embrace confidentiality, especially with our Sports and
Entertainment clients
BONUS SKILLS:
--- Bilingual (Spanish/English or Chinese/English would be
preferred)
--- Working knowledge of Illustrator, InDesign, Photoshop,
WordPress, and Quickbooks
--- Good eye for design (both spatially and digitally)
--- Knowledge of HTML5
--- Experience in preparing large-scale direct mail initiatives
--- Event Planning experience
